1. Introduction

This Privacy Policy explains how we (“we,” “us,” “our”) collect, use, disclose, and protect your personal information via our website and services, and specifically addresses SMS/text messaging and RingCentral’s consent requirements.

2. Collection of Personal Information

We may collect personal information you voluntarily provide, including:

  • Name, email address, phone number, state.

  • IP address, for website administration and anonymized analytics.

3. Use of Personal Information

We use your personal information to:

  • Respond to inquiries and requests.

  • Send newsletters, marketing communications, and other information of potential interest.

  • Improve our website, marketing, and services.

4. SMS Consent, Disclosure, and Messaging Terms

a. Explicit SMS Consent Required
If you choose to receive SMS/text communications from us, we will obtain express written consent, recorded, and documented, as required by RingCentral’s SMS/TCR process.

b. Consent Mechanism via Website Form

  • Any phone number field on our website that collects consent for SMS will include an optional, unchecked checkbox paired with the following language (or something similar):

I consent to receive [conversational / informational / promotional] SMS from [Business Name]. Reply STOP to opt‑out; Reply HELP for support; Message & data rates may apply; Messaging frequency may vary. View our Privacy Policy [link].
  • This checkbox will be optional, unchecked by default.

Type of SMS Messages

  • Conversational: Implied consent acceptable (recipient initiates).

  • Informational: Requires express verbal or written consent.

  • Promotional: Requires express written consent, with logging and opt‑out language.

c. Messaging Disclosures in Each SMS
Each SMS we send will include the following mandatory disclosures:

  • “Reply STOP to opt‑out; Reply HELP for support; Message & data rates may apply; Messaging frequency may vary.”

d. Opt‑Out and Help Instructions

  • If a recipient replies with “STOP” or “UNSUBSCRIBE,” we will immediately discontinue SMS messaging to that number.

  • A “HELP” reply will trigger automated assistance or support contact information.

5. Sharing of SMS Consent Information

We do not share your SMS consent, mobile number, or messaging preferences with third parties or affiliates.

6. Sharing of Personal Information (General)

  • We may share your personal data with third-party service providers (e.g., hosting, analytics) when necessary to support our operations.

  • We may disclose information if required by law or to protect legal rights.

7. Security

We employ industry-standard security measures to protect your information during transmission and storage. However, no method is completely secure.

8. Data Storage and Processing

Your data is processed and stored in databases located in the United States.

9. Retention of Consent and Records

We retain SMS consent records—including timing, method, and message type consented to—for the duration of messaging plus an additional verification period (e.g., six months), supporting compliance and audit needs.
(Note: This is a best practice aligned with RingCentral’s emphasis on documented consent.)
